What should I be recording?
Anything you noticed on the visit that the customer did not call you out for, and that you would mention to the office if they asked how it went. You already know this stuff. The memo is just saying it out loud before you drive off, so it goes somewhere instead of staying in the truck.
The test
Ask yourself one question at the end of the visit: did I see anything the office would want to know about? If the answer is yes, that is a memo.
Where to look
Read the briefing before you walk in. When you tap the job, Mentat shows what the office already knows about that property and what happened on prior visits. If something was flagged last time, look at it again and say whether it changed.
Then it is the things you already notice. The equipment that is older than it should be. The part that is worn. The thing the customer mentions while you are packing up, the "oh, and while you're here" that you did not have time for.
If it is already on the ticket, it is not a memo. The memo is for what was not on the ticket.
How to say it
Plain talk. Say what it is, where it is, and what shape it is in. If the customer said something about it, say that too, in their words. Then send.
You do not need to say what it costs or what it should cost. Mentat never shows you a price. Your job in the memo is to say what you saw. The office takes it from there. What happens to my memo after I send it?
No signal
If you cannot send from the house, call the memo in to the number in the app. Same words, same place.
Not every visit
Some visits have nothing. That is fine. A memo about nothing is worse than no memo. Record when you saw something, skip it when you did not.
