My techs are on Mentat but nothing is coming in. What do I do?

First rule out the two things that make recording impossible: a technician who is not active on the roster, and a day with no visits assigned to them in Jobber. If both are fine, the fix is not a setting. It is a conversation. Pick one technician, ask for one memo on one visit today, and tell them what happens to it once it is sent.

Rule out the mechanics

Open the account page and look at the roster. A technician showing pending or expired has never signed in, and their jobs do not appear until they do. Resend if you need to. My technician's invite expired. Now what?

Then look at Jobber. A technician's jobs appear in Mentat only when a visit is assigned to them in Jobber for that day. Unassigned visits, or visits assigned to someone else, never show up on their phone. An empty Jobber day means an empty Mentat.

If everyone is active and assigned and the queue is still quiet, keep reading.

Start with one person

Do not roll this out to the whole crew in a meeting. Pick the technician who already comes back from jobs telling you about the thing they saw at the last house. That tech is the one who will take to it.

Ask them for one memo today. One visit, one thing they noticed, a few sentences into the phone before driving off. Not a report. Not every job. One.

Tell them what happens to it

Most technicians go quiet because they do not know where the memo goes. Tell them plainly. It gets typed up and turned into a recommendation with their name on it. It lands in your review queue with their words attached. You decide what to do with it. If it becomes a quote in Jobber, the technician gets an email saying so.

Take the friction out

Remind them about the phone number. With no signal at the house, they can call the memo in to the number shown in the app instead of recording it there. No signal is the most common reason a memo never gets sent.

Point them at the briefing. When your tech taps a job, Mentat shows what the office already knows about that property and prior visits. Reading it before walking in gives them something to look for.

Close the loop the same day

When their first memo lands in your queue, look at it that day. Approve it, snooze it, or make one of the other calls, but do something. A technician whose first memo sits for a week learns that memos go nowhere. How do I work the review queue?

The activity page shows them their streak. Mention it once. Some people care about a streak more than they will admit.

When it is a what-to-record problem
